Attendance-note automation

The attendance note is written by the time the meeting ends.

Acer Voice records your client meeting, transcribes it, and produces a compliant, letter-ready note in your firm's house style. Ready to send before you leave the room.

Built for regulated advisory work

Two disciplines. One tool that speaks both.

Acer Voice adapts to the compliance language of your practice — whether you're capturing testamentary intention or evidencing suitability under Consumer Duty.

The problem

Attendance notes are the tax on every client meeting.

Every meeting produces two records: the memory in your head, and the file the regulator can inspect. The gap between them is where compliance risk lives — and where fee-earner time evaporates.

Dictation gives you a transcript. Acer Voice gives you a note — structured to the format your file reviewers already expect, in the language your regulator already recognises.

How it works

Three steps. One tea break.

Start the recording when the meeting begins. By the time you’ve walked the client to reception, the draft note is waiting for you.

Step 01

Record

Open the meeting on your phone, iPad, or laptop. Acer Voice captures the audio and encrypts it from the first second. UK-based storage, no third-party listening in.

Step 02

Transcribe

Speaker-separated transcription ready before the client’s tea has cooled. Processed on UK/EU servers with end-to-end encryption. No public LLMs, no free-tier services.

Step 03

Draft

A compliant, structured attendance note in your firm’s house format. Compliance flags surface unusual items — capacity concerns, undue influence, vulnerability indicators, missing evidence.

For wills & trusts firms

Notes that stand up to a file review.

Capture testamentary intention, capacity, undue-influence checks, and vulnerability disclosures the way an SRA file reviewer expects to see them — in your house template, every time.

  • Golden Rule prompts. Automatic reminders to record capacity assessment and undue-influence checks for elderly or vulnerable testators.
  • House drafting templates. Legacy Protection, Business Relief, Vulnerable Beneficiary, and RNRB-preserving structures encoded into your firm’s output.
  • Compliance flags. Beneficiary conflicts, missing capacity records, potential undue influence — surfaced to supervising fee earners before file review.
  • STEP-aligned output. Attendance notes structured to STEP good-practice guidance and consistent across your consultants.

Attendance note · Draft SRA-ready

Meeting: Will instructions

Consultant: A. Solicitor · Duration: 48 min · Generated: 12 s after end
Client circumstances

The client is a widow in her late seventies with two adult children and four grandchildren. She lives independently, manages her own finances, and is in good general health.

Testamentary intention

The client confirmed her intention to leave her estate on trust for her two children equally, with substitutional provision for issue. She wishes to include a Legacy Protection structure to preserve assets on the survivor’s death.

Capacity & undue influence

The client attended alone. She gave clear, unprompted instructions and demonstrated understanding of the extent and nature of her estate. No indication of undue influence observed.

Compliance flag — Golden Rule. Client is over 70. Capacity assessment by GP recommended before execution.
Suitability note · Draft FCA-ready

Meeting: Suitability review

Adviser: A. Adviser · Duration: 62 min · Generated: 14 s after end
Client circumstances & objectives

The client is 58, employed, married, with a defined-benefit pension in payment and a SIPP holding £320,000. Objective: consolidate legacy pensions and generate flexible retirement income from age 60.

Attitude to risk & capacity for loss

ATR score: 5 of 10 (balanced). Capacity for loss: assessed as moderate; income needs met by DB pension irrespective of SIPP performance.

Consumer Duty outcomes

Products & services — suitable for objective. Price & value — platform charge disclosed. Consumer understanding — confirmed verbally.

Compliance flag — Vulnerability (FG21/1). Client mentioned recent bereavement. Consider vulnerability disclosure and adjusted engagement.
For financial advisers

Suitability, evidenced. Consumer Duty, documented.

Structured fact-find capture, ATR and capacity-for-loss evidencing, and Consumer Duty–aligned suitability notes that translate directly into your file review pack.

  • COBS 9 suitability framework. Objectives, circumstances, knowledge & experience, ATR, and capacity for loss captured in the structure a compliance file review expects.
  • Consumer Duty outcomes. Products & services, price & value, consumer understanding, and consumer support — automatically summarised against each of the four cross-cutting rules.
  • Vulnerability detection (FG21/1). The system surfaces potential vulnerability indicators from the conversation — bereavement, financial distress, health disclosures — for you to review and disclose.
  • File-review-ready evidence pack. Every meeting produces a suitability note, a fact-find summary, and an audio archive with SHA-256 receipt — ready for a 1-in-10 review.

Compliance & security

Built for regulated data from day one.

Client meetings are among the most sensitive data your firm handles. Acer Voice treats them accordingly — UK-hosted, end-to-end encrypted, role-scoped, and audit-ready.

UK & EU processing only

Audio and transcripts are stored and processed in UK/EU data centres. No transit to US-based general-purpose LLMs.

End-to-end encrypted

Audio encrypted at rest and in transit. Recordings tied to the fee earner who captured them; no wider access without escalation.

Audit trail on every action

Every recording, transcript view, note edit, and export is logged with actor, timestamp, IP address, and matter identifier. File-review-ready.

Retention you control

Default 90-day retention with manager-controlled hard-delete. Every deletion generates a SHA-256 archive receipt for your records.

MFA & role-scoped access

TOTP-based multi-factor authentication built in. Roles for admin, consultant, and reviewer, with matter-level scoping for cross-consultant oversight.

Portable at any time

Export any matter as a zipped bundle of transcripts, notes, and audio at any time. Contracts include a 90-day post-cancellation export window.

Frequently asked

The questions we hear most.

Where is my data stored, and who else can see it?
All audio and transcripts are stored in UK/EU data centres. Access is scoped to your firm’s tenancy and to the specific fee earner who created the matter, unless your firm elects to enable managerial oversight. Perplexity, Deepgram, and any other sub-processor sees only what is strictly necessary to deliver the service; a full sub-processor list is available under the footer link.
Is this just ChatGPT with a legal wrapper?
No. Acer Voice is a purpose-built pipeline: dedicated transcription via Deepgram’s speaker-separated model, followed by structured note generation against your firm’s templates and compliance framework. Client data is never sent to general-purpose consumer LLMs. Every stage runs against contracts with UK/EU-based processors.
Can it use our firm’s house templates and letter styles?
Yes. During onboarding we ingest your existing attendance-note and letter templates, plus any house-drafting language you already use. The output reads as if written by one of your senior fee earners — your headings, your phrasing, your compliance framework.
What devices does it work on?
The web application runs on any modern browser — Mac, Windows, iPad, and mobile. A native iOS app is in beta for consultants who prefer to record on the phone. All devices sync back to the same firm tenancy.
How is this different from dictation software?
Dictation produces a transcript. Acer Voice produces a structured note. You do not need to speak in complete sentences, provide headings, or re-dictate at the end of a meeting. Just record the meeting as it happens; the note is generated for you against the compliance framework your regulator expects.
What happens to our data if we cancel?
Every contract includes a 90-day post-cancellation export window during which your firm can download a zipped archive of every matter — audio, transcript, and generated note, with a SHA-256 receipt for each artifact. After that window elapses, we hard-delete your data and issue a corresponding deletion certificate.
Do you have professional-indemnity cover?
Yes. Acer Voice carries commercial and cyber liability cover appropriate to a UK regulated-sector technology vendor. We’re happy to share the certificate under NDA during procurement.
